SYNCING CRM AND QBO

Once an invoice has been created, you can sync it with QuickBooks Online. The sync will send the invoice and all it's line items to QuickBooks Online. CRM will send tax class information about each line item to QuickBooks Online and let QuickBooks calculate the taxes.

To sync an invoice from CRM to QBO click the "Send to QBO" button on the invoice.

After an invoice is synced to QBO, the invoice in CRM will have

  1. Its tax amounts confirmed by QBO
  2. An invoice number - the next sequence number from QBO
  3. The total balance due from QBO displayed in CRM

As payments are applied to an invoice in QBO the resuling balance due in CRM is updated as part of a nightly update.

Tax Calculations

Tax calculations, are performed in CRM for estimations and displayed on CRM invoices under the tax section for an invoice. The tax calculations are re-performed by QBO directly in QBO so that the sales tax reporting features in QBO all work as designed.

Please note that Tourism Taxes are not supported by QBO directly so these are displayed in CRM as individual line items and pushed over to QBO on that basis.

Printing an Invoice

To "print" an invoice click the "QBO PDF" button on the invoice ribbon - only available once an invoice has been synced to QBO. This will fetch the PDF version of the invoice, available from QBO and attach it as a note to the invoice record.

Voiding Invoices

If an invoice that has been previously synced needed to be voided it can, and should be voided directly in CRM. Voiding the invoice in CRM will let the billing system know that the invoicing for the order needs to be re-examined, and will push the VOID to QBO which will also VOID the invoice there.
