OWNERSHIP

Many records and entities in CRM have owners. The owner of a given record is the person who has primary responsibility for that record.

Ownership can generally be found near the top of the screen on the right:

Ownership of contactsBy default, the ownership of a contact in CRM is assigned to the person who entered the contact information. However,you may change the ownership by using the lookup icon.

Ownership of accountsBy default, the ownership of an account in CRM is assigned to the person who entered the contact information. However,you may change the ownership by using the lookup icon.

Ownership of leadsBy default, the ownership of a lead in CRM is assigned to the person who entered the contact information. However,you may change the ownership by using the lookup icon.

Ownership of opportunitiesBy default, the ownership of an opportunity in CRM is assigned to the person who entered the contact information. However,you may change the ownership by using the lookup icon.

BULK TRANSFER OF RECORDSWhen the departure of a salesperson or a reorganization occurs, all records owned by a particular user may need to be transferred to another user or team, so that they can take over responsibility for their development.

On those occasions, the best practice is to use a feature of CRM’s System Administration User Management capabilities.

Here's how to do it:

  • On the Navigation Bar, Click Microsoft Dynamics CRM
  • Click Settings
  • Click Administration
  • Click Users
  • Select a User and click edit
  • Click Reassign Records

From here, all Contacts, Accounts and other records assigned to this user may be assigned to the User, a different User, or a Team.
