Best Practices

The following are generally recommended best practices for using the CRM system for Premiere Suites. In some cases you may need to deviate from these practices but they are recommended based on experience with the system and business practices of Premiere Suites.

Ensure that all leads are entered into the system

Entering sales leads, whether via direct email or phone call or other communications, into CRM as opportunities makes it easier to track what lead sources are producting good opportunities and which are not.

Edit customers in CRM and not QBO

Customer records that are created in CRM and then pushed to QBO should be edited afterwards in CRM first and not QBO.

Prefer to use contacts as Customers

Whenever possible it is preferred to use contacts for customers on reservations rather than Accounts. Contacts may be linked to Accounts to maintain a relationship between a Reservations and Accounts.

Use Taxes from CRM

If taxes on an order are not correct you should contact support to configure the tax rules appropriately for your province and/or city. It is preferred to have CRM have the correct rules to create the correct taxes for your stay rather than trying to manually make adjustments later. Among other issues manually over-riding taxes will cause discrepancies in reported revenues and taxes between CRM and QBO.

Use Parking Spaces as Inventory

You can add parking spaces to orders as inventoried products or simply billable items. It is preferred to use inventoried speaces as that is the only way in which CRM can block space from being double booked.

Include Key Information in Support Tickets

When you create a new support ticket please include key information, in text, in your email to allow us to assist you faster. You should always reference the exact reservation number of the order you are working with or other key information as part of your ticket. Attaching screenshot images of part of a screen that may not include this information does not allow us to assist you.

  • For issues with reservations - please include the name of the reservation
  • For issues with invoices - please include the name of the reservation, and the invoice number and/or month of the invoice (if draft)
  • For issues with opportunities or quotes, please include the name of the opportunity
