Invoices can be found in ACCOUNTING >> INVOICES

To change the view to look at all invoices across the organization, or filter for closed or payments, click the arrow to the right of the form title.

Creating and Editing Invoices

You do not have to create or edit invoices, or wait for them to generate or update. All invoices are created and edited, in real-time by the system. Changes made to orders will be reflected to related invoices right away as orders are saved.

If you want to change what is on an invoice you will need to change the related order so that the invoice is updated.

Invoice Statuses

Similar to the old CRM system Invoices can have one of three statuses.

  1. New or Draft. These are invoices that have not yet been synced with QBO
  2. Completed. These are invoices that have been synced with QBO.
  3. Voided. These are invoices that were synced with QBO but have now been voided in both CRM and QBO.

The billing system can only make changes to invoices that are in a new or draft state. Once an invoice has been sent to QBO it is no longer editable by the CRM billing system. If a change to an order results in a new charge that must be billed the system will look for an open (new) invoice in the appropriate period (month) but if not found a new invoice will be created.

Overriding Taxes

If the tax calculations on a specific product are incorrect you can adjust them by using the tax settings on the related Order Product. Open the Order, Open the Order Product and you can set the tax settings on automatic or manually over-ridden. When you set the taxes manually you can choose the applicable tax classes for the item.
